Initial Setup for Optional Features

Once you've transitioned to the Skype for Business phone service, you aren't required to do any additional set up. However, you may want to set up a new voicemail PIN so that you can customize your voicemail greeting and check voicemail by phone. You may also want to set up additional preferences noted below. If you receive a Skype-enabled phone, your tech staff should log in to the phone for you.

How to set up your voicemail PIN:

If you want to check your voicemail by phone or customize your greeting, you'll need to set up a new voicemail PIN. After you are enabled for Skype for Business phone service, you will receive an email from Microsoft Outlook with a PIN number for your voicemail. Refer to that email, then:

  1. Call the Outlook Voice Access number, 785-864-1900, enter your Voicemail PIN at the prompt.

How to create a new personal voicemail greeting by logging into mail.ku.edu:

  1. Log in with your KU Online ID and password at mail.ku.edu.
  2. Select the settings (gear) icon then select Options.
  3. Select Phone in the left navigation.
  4. Select call me to play or record a personal greeting.

How to create a new personal voicemail greeting by using your phone:

  1. Call the Outlook Voice Access number, 785-864-1900, enter your Voicemail PIN at the prompt.
  2. Say "Personal Options."
  3. Press 2 to record greetings.
  4. Press 2 to record a greeting for when you are away.
  5. Press 1 to record a greeting.
  6. Once you have recorded your greeting, press 1 to accept or press 2 to re-record. Or, you can press 3 to delete the greeting and use the default.
  7. When you are satisfied, you can hang up.

How to set up your Lync PIN:

This is optional for anyone using Skype for Business Online Meetings that needs to start the meeting by phone.

  1. Go to lyncpin.ku.edu.
  2. Select Sign In.
  3. Choose a language or leave as the default. Depending on your browser, you may need to select Sign In.
  4. By User name, enter home\ followed by your KU Online ID and then enter your Online password. Select Sign In.
  5. Enter and confirm the PIN you'd like to use. Please note: Your PIN must be between 6 and 24 digits long and cannot contain letters, spaces, or special characters. You use this PIN when you dial in to a conference and meetings on your company network.
  6. Select OK.
  7. You have now set up your PIN. Select Sign Out.

How to log into your phone using your user credentials:

Note: Your tech staff should log you into your phone. The following methods are in the case that your tech staff is not available.

  1. Depending on your phone model, touch the More button then touch Sign In or select the button on the phone located under those options.
  2. Select User Credentials...
  3. By Sign-in Address, enter your SIP address. Your SIP address is the email address you use most often
  4. By Domain, enter home.
  5. By User, enter your KU Online ID.
  6. By password, enter your online password.
  7. Depending on your phone model, touch the sign in button or select the button on the phone located under Sign In.
  8. Your phone will show a screen with "Signing into Microsoft Lync for Mac phone Service, Please wait..."
  9. If you successfully sign in, you will see your name appear by the phone after the icon on the screen after few seconds.

How to log into your phone using your phone number and Lync PIN:

Note: Your tech staff should log you into your phone. The following methods are in the case that your tech staff is not available and requires you to set up a Skype for Business PIN, which is only available to individuals not groups.

  1. On the screen, touch More, then tough Sign in.
  2. Select PIN Authentication...
  3. Enter your phone's extension number by Extension. Note: You can enter it as any of the following formats:
    1. 4-####
    2. 864-####
    3. 785-864-####
  4. Depending on your phone model, touch the screen next to PIN or use the arrow down button on the circular keypad to advance to the PIN entry.
  5. Enter your Lync PIN.
  6. Depending on your phone model, touch the sign in button or select the button on the phone located under Sign In.
  7. Your phone will show a screen with "Signing into Microsoft Lync Please wait..."
  8. If you successfully sign in, you will see your name appear by the phone icon after a few seconds. Any contacts that you've added as a Pinned Contact on your Lync for Mac contact list will appear.

How to set up additional phone numbers for call forwarding and simultaneous ring in Lync for Mac:

If you add additional numbers set up in Lync for Mac phone service, such as your mobile number or home phone number, you will be able to quickly transfer or forward individual calls or even your office phone to that number.

  1. With Lync open, choose Lync from the menu bar at the top of the screen.
  2. Select Preferences.
  3. Choose Phone Calls.
  4. To enter a number to forward to or simultaneously ring at, select either forward my calls to or simultaneously ring.
  5. From the drop down, select New number or contact.
  6. Enter your number starting with the area code.
  7. Select OK.
  8. Close the window to save.

How to set up delegates:

You can designate one or multiple people as your Lync for Mac phone service delegate. Delegates do not transfer from Outlook. Your delegate can make calls on your behalf and answer your incoming calls after 0, 5, 10, or 15 seconds.

  1. With the Lync for Mac client open, choose Lync from the menu bar at the top of the screen.
  2. Select Preferences.
  3. Choose Phone Calls.
  4. Select Edit my delegate members.
  5. Click Add.
  6. Select a contact or dial a number.
  7. Select when the delegate answers incoming calls (0-at the same time, or 5, 10, or 15 seconds after).
  8. Click OK.
  9. Close the window to save.
