Microsoft Campus Agreement

Who is eligible for Microsoft products under the campus agreement?

The University of Kansas and KU Medical Center have entered into a three-year campus agreement with Microsoft. This campus agreement positions KU users to have access to a suite of products that they rely on everyday and also to receive new product releases and upgrades when they become available to volume-licensing clients.

KU-owned computers

Computers owned by KU are eligible for Microsoft Office upgrades, Windows OS upgrades, core Client Access Licenses (CAL), and Windows server licenses for departmental use.

Computers owned by students

Students' licenses for Microsoft Office and Microsoft Windows Upgrades are covered under the Microsoft Campus Agreement. However, students are responsible for the cost of the media for use on a personally owned machine.

Students are eligible to purchase one copy of Microsoft Office (for a PC or Mac) and one copy of Microsoft Windows upgrade (for a PC or Mac). The costs of these products are as follows:

Microsoft Office Enterprise for Windows - $11.99
Microsoft Office for Mac 2011 - $11.99
Windows 7 Upgrade 32 bit - $11.99
Windows 7 Upgrade 64 bit - $11.99

Students are also eligible to purchase a variety of products for a reduced fee under the Microsoft Select Agreement, which is different than the campus agreement. Personal computers owned by faculty & staff (home use)

As a benefit of the Microsoft Campus Agreement, the Microsoft Home Use Program (HUP) provides KU Faculty and Staff access to one copy of Microsoft Office for use on a personal computer. 

To utilize this benefit, log in to the Kyou portal where on the “general”  tab you will find a web site link, a KU program code and instructions for downloading (and purchasing) the products. Faculty and staff members will be able to purchase a download or media for the following products:

Download of Office Professional Plus 2010 for $9.95
Download of Office 2011 for Mac for $9.95
Download of MS Office Language Pack for $9.95
Back-up DVD shipped directly to the end-user for $12

KU Faculty and Staff are also eligible to purchase new Microsoft Office versions. When a new version is released from Microsoft, faculty and staff can go to same site and purchase the new media for $9.95.

Additionally, if faculty and staff are interested in purchasing an additional copy of Microsoft Office, Windows 7 upgrade or other Microsoft products for a reduced price, they need to go to http://softwareagreement.ku.edu/  and select the products they would like to purchase. After completing the web site ordering process, users will be directed to the Tech Shop in the KU Bookstore in the Kansas Union or Jayhawk Central on the Edwards campus to pick up their selected media. Personal computers owned by retirees (home use)

Retirees are also eligible to purchase a variety of products for a reduced fee under the Microsoft Select Agreement, which is different than the campus agreement. Who is not eligible for media under the Microsoft Campus Agreement?

  • Conference attendees
  • Alumni
  • Visitors
  • Companies, and their employees, who have been hired on a contractual basis for services on or off campus and are not employed by the University of Kansas
  • Visiting faculty
