Extensions now available for making documents accessible on KU websites

KU is introducing flexibility in accessibility requirements as site administrators work to migrate their websites to KU CMS Sunflower (Drupal 9). As an institution, we remain committed to making all content accessible. However, we also recognize it can be extremely challenging to remediate all PDFs and other documents before the November 2021 deadline for migration to Sunflower.

KU Leadership has initiated an extension process to allow Sunflower sites to be launched while work continues on making all PDFs and other documents on websites accessible. Site administrators who need additional time for remediation must complete an extension plan form.

Submitting an Extension Plan

There are two options for submitting an extension plan to allow for more time to remediate documents:

  1. Site administrators who know they will need extra time can submit an extension plan before they submit their Sunflower site for review and approval; or
  2. If the KU IT User Interface and User Experience (UI/UX) team identifies accessibility issues during review of a site, the site administrator can submit an extension plan at that time.

In both cases, launch of the site can move forward after the extension plan form has been submitted.

Extension Process

  • Site administrators must develop a remediation plan and timeline for inaccessible documents prior to submitting the extension plan form.
  • A copy of the submitted extension plan will automatically be emailed to the site administrator along with a designated unit contact they identify in the plan.
  • Websites that are approved and launched with an extension must include standard language on any page with inaccessible content: “An accessible version of the content on this site will be made available upon request. Please contact [department contact name], at [contact email] to request the content be made available in an accessible format.”

Accessibility & Remediation Resources

The extension plan form includes links to resources that can help site administrators with document remediation. KU’s CMS Guide site provides information and links to additional resources.

KU Information Technology is in the process of implementing the Ally accessibility tool, both for our learning management systems (i.e., Canvas and Blackboard) and for KU CMS Sunflower websites. Ally for Web can also automatically generate alternative formats of content to provide more accessibility options. We will send more information about Ally as rollout plans are finalized.
