Email Using KU Group Lists
After your KU Group List has been created, you will receive an email notifying you when it will be available for you to use. At that point you may have questions about how to use the KU Group List to distribute email to the members of the KU Group List. The following information should help answer some of your questions. How do I use my KU Group List?
For the following discussion, assume you have a list that only you can send to, and that list is named:
Display Name = CLAS101 (12345) Sp05 - DL
Email Address = firstname.lastname@example.org
Sending email to a KU Group List is no different than sending an email to anyone else on campus. You open up a new message, add the KU Group List name to the "To" box, write a subject and the body of your message, and send.
If you use an email program like Outlook Express, Netscape, Eudora, etc., then you need to use the email address instead of the display name:
- Open up a new email message.
- In the "To" box, type the full email address of your Distribution List. In our example, it's email@example.com.
- Create and send message.
If you receive a message from the "System Administrator" indicating that you don't have permission to send to that list, you need to change some settings in your email program. The "From" line in your email program must match the address used when the list was created.
In Exchange, you have a default email address of: firstname.lastname@example.org. When you send an email to an KU Group List, your "From" address must match the address used when the list was created or it will reject your email.
Changing your "From" address depends on the email program you use. This address is usually defined in the "Options" or "Settings" menu. If you need assistance with this process please contact the IT Customer Service Center at 785-864-8080.
How can I tell who's on my list and who isn't?
There are several methods available to view who is included in an Exchange Distribution List here at KU. Selecting the best method for you will depend partly on the type of list you own.
- Visit My Groups to view the KU Group Lists that you are on or own.
- Outlook Global Address Book - You can view a KU Group List's membership in the Outlook Global Address Book if the list's membership is not hidden.
- Contact KU Group List Administrator - When all else fails, email email@example.com for assistance in determining who is a member of your KU Group List.
