Instructions to Join

Please click on the option that best describes you. 

I am a KU faculty, staff, or student with Skype for Business/Lync software.

  • Windows Users: Use these directions.
  • Mac Users: You have the option of opening the meeting in your Lync software or using the Skype Web App. Opening the meeting in the Skype Web App will provide you will more options for collaboration. However, it requires that you download a plug-in file to enable you to share audio and video, which means you have to have administrator privileges on your computer to install the plug-in file. Here are the directions for both methods.
  • Mobile App Users: You can join the meeting using the free Skype Mobile App. The app will allow you to participate in the meeting with instant messaging, voice, and video. However, you will be unable to see and participate with presentable content, such as desktop or program sharing, polling, whiteboards, and PowerPoints. Here are the directions for joining with the Skype Mobile App. You will also need to be connected to wireless. Here are the directions for the Skype Mobile App.

I am a KU faculty, staff or student without Skype for Business/Lync software.

You will join the meeting using the Skype Web App. Follow these directions.

I am from KUMC and have Skype for Business/Lync software.

At this time, KU and KUMC are not federated. So, you will need to join the meeting using the Skype Web App via a web browser. Here are the directions to open the meeting in a web browser instead of the desktop software:
  1. In the meeting request, right click on the "Join Skype Meeting" hyperlink and choose Copy Hyperlink.
  2. Open a web browser, preferably Firefox.
  3. Paste the hyperlink into the address bar and add the following characters ?sl=1. Hit enter on the keyboard to go to the site.
  4. On the web app page, log in as a guest instead of using your regular login credentials.
  5. If this is your first time using the Skype Web App, you'll have to download, install, and accept the plug-in file.

I am not from KU, but I have Skype for Business/Lync at my organization.

Most likely, you will need to use the Skype Web App to join the meeting even if you have Skype for Business or Lync software and access at your organization. By default, your computer will try to open the meeting in the software. Follow these directionsto force the meeting to launch in the browser-based Skype Web App:
  1. In the meeting request, right click on the "Join Skype Meeting" hyperlink and choose Copy Hyperlink.
  2. Open a web browser, preferably Firefox.
  3. Paste the hyperlink into the address bar and add the following characters ?sl=1. Hit enter on the keyboard to go to the site.
  4. On the web app page, log in as a guest instead of using your regular login credentials.
  5. If this is your first time using the Skype Web App, you'll have to download, install, and accept the plug-in file.

I am not from KU or am from KUMC, and I do not have Skype for Business/Lync at my organization.

You will join the meeting using the Lync Web App. If you are included as a meeting presenter, you will be able to share presentable content and have options for collaboration. The Lync Web App requires that you download a plug-in file to enable you to share audio and video. Follow these directions.

 

Best Practices for All Meeting Attendees

  • Use a wired internet connection whenever possible.
  • Use one of the recommended audio devices and check your audio before joining the meeting.
  • Mute your audio unless you are speaking.
  • If you are joining a meeting alongside other attendees sitting in the same room, use only one computer to log on to the meeting to prevent audio feedback.

 

Meeting FAQs

How do I know if I have the software?
Windows users can go the the Start Menu > All Programs and look for Skype for Business 2013. It may be hidden in the Microsoft Office 2013 folder. Mac users should look for Microsoft Lync in your Applications folder. If you are still unsure, you should contact your department technical staff member​.

Do I need to request access to Skype for Business/Lync?
Starting June 1, 2014, all KU faculty, staff, and students will automatically be enabled to use Skype for Business/Lync upon joining the university. 

What is the difference between Skype for Business and Lync?
In April 2015, Microsoft updated the software application for PCs from Lync 2014 to Skype for Business 2015. PC users who have updated their machines to Skype for Business will notice a new interface, however all of the functionality remains the same. Mac users, mobile users, and users who join meetings through the meeting Web application, will all use "Lync" as these software and applications have not yet been updated by Microsoft. 

What if I don't have a Web cam? 
You can still join a the meeting and see any shared video and content. You just won't be able to share your own video and will appear as a generic avatar.

Do I need a headset?
A headset can help the quality of your audio, but it isn't necessary. All you need is a microphone and speaker. If you are going to listen and not add any verbal comments, you will just need speakers or headphones. Alternatively, you can join the voice portion of a meeting using your desk or cell phone by calling into the conference bridge included in the footer of the meeting request.

How do I start a meeting?
One of the meeting’s presenters must start the Skype for Business meeting before attendees can join the meeting using the phone bridge or using the browser-based Skype for Business Web App. A presenter can start the meeting by joining it using the Skype for Business desktop software, by signing in to browser-based Skype for Business Web App with their KU credentials, or by calling in to the phone bridge and entering their Skype for Business PIN. A Skype PIN is only available for faculty and staff using the Skype for Business phone service and has to be set up at https://lyncpin.ku.edu
