Skype for Business for Mac - Getting Started

Install Skype for Business for Mac

For KU-issued computers: Contact your department technical staff to get Skype for Business for Mac installed.

For personal computers: You can find information about downloading Skype for Business online at technology.ku.edu/software/skype-business.


Sign in

  1. Launch Skype for Business for Mac.
  2. Enter your KUOnlineID followed by @ku.edu (KUOnlineID@ku.edu).
  3. Select Advanced Options.

  4. Under User Name enter home\ followed by your KUOnlineID (home\KUOnlineID).

  5. Select Continue.
  6. Enter KU password.
  7. Select Sign In.
  8. To sign out, select Skype for Business from the top menu then choose Sign Out.

Note: You will only have to enter the User Name under advanced options the first time you are signing in from your device or computer.


Phone Service

Set up your voicemail PIN

If you want to check your voicemail by phone or customize your greeting, you'll need to set up a new voicemail PIN. After you are enabled for Skype for Business phone service, you will receive an email from Microsoft Outlook with a PIN number for your voicemail. Refer to that email, then either:

Reset your voicemail PIN by calling in

  1. Call the Outlook Voice Access number, 785-864-1900 or 4-1900. Enter your voicemail PIN at the prompt. It will then ask you to enter a new one.
    Note: PINs must be at least 6 characters long, and cannot contain sequential numbers (12346), or repeating numbers (444444).

Reset your voicemail PIN through mail.ku.edu

You can reset your voicemail PIN, change voicemail preview, and notification settings, and view call answering rules at mail.ku.edu.

  1. Log in with your KU Online ID and password at mail.ku.edu.
  2. Select the settings icon, then Select Options.
  3. Select Phone in the left navigation
  4. Select Reset my voice mail PIN.

Set up a personal voicemail greeting

Create a new personal voicemail greeting by logging into mail.ku.edu

  1. Log in with your KU Online ID and password at mail.ku.edu.
  2. Select the settings (gear) icon then select Options.
  3. Select Phone in the left navigation.
  4. Select call me to play or record a personal greeting.

Record a personal greeting by calling in

  1. Call the Outlook Voice Access number, 785-864-1900 or
    4-1900. Enter your voicemail PIN at the prompt.
  2. Say “Personal Options.”
  3. Follow the voice prompts to create and save your message.
  4. When you are satisfied, you can hang up.

Set up your Skype for Business PIN

This is optional for anyone using Skype for Business Online Meetings that needs to start the meeting by phone.

  1. Go to lyncpin.ku.edu.
  2. Select Sign In.
  3. Choose a language or leave as the default. Depending on your browser, you may need to select Sign In.
  4. By User name, enter home\ followed by your KU Online ID and then enter your Online password. Select Sign In.
  5. Enter and confirm the PIN you'd like to use. Please note: Your PIN must be between 6 and 24 digits long and cannot contain letters, spaces, or special characters. You use this PIN when you dial in to a conference and meetings on your company network.
  6. Select OK.
  7. You have now set up your PIN. Select Sign Out.

Log into your Skype-enabled desk phone

Log in to your phone using your user credentials

Note: Your tech staff should log you into your phone. The following methods are in the case that your tech staff is not available.

  1. Depending on your phone model, touch the More button then touch Sign In or select the button on the phone located under those options.
  2. Select User Credentials...
  3. By Sign-in Address, enter your SIP address. Your SIP address is the email address you use most often
  4. By Domain, enter home.
  5. By User, enter your KU Online ID.
  6. By password, enter your online password.
  7. Depending on your phone model, touch the sign in button or select the button on the phone located under Sign In.
  8. Your phone will show a screen with "Signing into Microsoft Lync for Mac phone Service, Please wait..."
  9. If you successfully sign in, you will see your name appear by the phone after the icon on the screen after few seconds.

Log into your phone using your phone number and Skype for Business PIN

Note: Your tech staff should log you into your phone. The following methods are in the case that your tech staff is not available and requires you to set up a Skype for Business PIN, which is only available to individuals not groups.

  1. On the screen, touch More, then tough Sign in.
  2. Select PIN Authentication...
  3. Enter your phone's extension number by Extension. Note: You can enter it as any of the following formats:
    1. 4-####
    2. 864-####
    3. 785-864-####
  4. Depending on your phone model, touch the screen next to PIN or use the arrow down button on the circular keypad to advance to the PIN entry.
  5. Enter your Skype for Business PIN.
  6. Depending on your phone model, touch the sign in button or select the button on the phone located under Sign In.
  7. Your phone will show a screen with "Signing into Microsoft Skype for Business Please wait..."
  8. If you successfully sign in, you will see your name appear by the phone icon after a few seconds. Any contacts that you've added as a Pinned Contact on your Skype for Business for Mac contact list will appear.

Delegates

You can designate one or multiple people as your Lync for Mac phone service delegate. Delegates do not transfer from Outlook. Your delegate can make calls on your behalf and answer your incoming calls.

Add a delegate

  1. On the Contacts tab, search for the contact you want to add as a delegate.
  2. Right-click on the contact and select Groups > My Delegates.

Set calls to a delegate

  1. Select Skype for Business from the menu bar at the top of the screen.
  2. Select Preferences.
  3. Select Calls.
  4. Select Turn on call forwarding.
  5. Select either Forward my calls to or Simultaneous ring.
  6. Select My Delegates.
  7. Close the window to save.

Remove a delegate

  1. Select the Contacts tab from the left menu.
  2. Select My Delegates.
  3. Right-click on the contact you want to remove as delegate then select Groups.
  4. Deselect My Delegates as an option.

Make a call as a delegate

  1. On the Contacts tab in the left menu, search for and select the contact you want to call.
  2. From the top menu bar, select Contacts > Start Call > Work: > Call on behalf of.
