Things To Do In the Days Leading Up to the Transition:

Listen To All Your Voicemails

Please be sure to review all voice messages in your desk phone (Audix) mailbox prior to your transition day. If you receive any new messages on the day of transition, please review them promptly, as unopened voice messages in the Audix system will slow the overall transition process. Your Audix mailbox will be permanently deleted during the transition to Skype for Business phone service.

Attend a Skype for Business Phone Service Workshop and/or Review the Phone Service Website

Workshops:

  • PC users can attend open Skype for Business phone service workshops. Visit workshops.ku.edu for a list of upcoming workshops.
  • Training for Mac users is available on request by emailing training@ku.edu to set up a time, or you can contact your IT support staff for a one-on-one orientation.

Use Your New Audio Device

If you already have your headset or other audio device, we recommend familiarizing yourself with the device by placing a Skype-to-Skype voice or video call, and/or participating in an online meeting before the transition. If you do not have your device yet, a technology support staff member will be on hand before or during the transition to assist with installing headsets or other audio devices.


Things You Can Do Now:

Use of Skype for Business basic service on campus has grown significantly since it was launched in spring 2014. If you don’t already use Skype for Business for instant messaging, campus voice and video calls, and online meetings, we recommend getting started now.

Use Skype for Business Basic Service

The more comfortable you are with Skype for Business basic service, the easier it will be for you to transition smoothly to phone service with Skype for Business. Skype for Business should be installed and available on KU workstations in all units that have partnered with KU IT for centralized IT support. If Skype for Business is not installed on your workstation, please contact your IT support staff.

Check Your KU Directory Listing

If you haven’t checked your listing in the KU Directory recently, we strongly recommend doing so to be sure your information is correct.

How to Update Your KU Directory Listing

1. Log in at: hr.ku.edu
2. Click on: Self Service > Personal Information> KU Directory > KU Directory Posn/JOB Info
3. By KU Work Phone, enter your phone number using this format 785/864-####
4. Click “Save”
5. Your changes should take effect within 24 hours

Start Signing In to Skype for Business Every Day

We recommend you make signing into Skype for Business part of your daily start-up process. Once you are transitioned to the Skype for Business phone service, you will need to be signed in to receive calls.


How You Will Know The Transition is Complete:

  • Your Avaya or Cisco desk phone no longer has dial tone.
  • You will also receive an automated email from Microsoft Outlook confirming your Skype for Business phone number (your previous number in most cases) and your initial voicemail PIN. Be sure to save the message for reference until after you have created your custom PIN.

Verify Your Phone Number is Correct in Microsoft Outlook Email

When your transition is complete, you will receive an automated email from Microsoft Outlook confirming your Skype for Business phone number (your previous number in most cases) and your initial voicemail PIN. When you receive the Microsoft Outlook email, please be sure to:

  1. Confirm the accuracy of your phone number. If you believe your phone number in the email from Microsoft Outlook is incorrect, please contact the KU IT Customer Service Center at itcsc@ku.edu or 785-864-8080.
  2. Save the message for reference until after you have created your custom PIN

KU has open federation for Skype for Business, which means you can connect with friends and colleagues at more than 850 organizations around the world that also offer open federation. You can add a non-KU person at an open federation site to your contacts list and immediately begin a chat or S4B-to-S4B voice or video call. Check the Skype Directory to find organizations that have Skype for Business open federation.
