KU's Digital Signage solution provides a single campuswide system to support the informational, promotional, branding and emergency broadcast needs of the University overall, as well as individual schools and departments. 

Schools and departments can engage students, visitors, faculty and staff with dynamic, multimedia content displayed on flat-screens in building lobbies, offices and other common areas. In addition to reaching audiences within their own building spaces, participants in Digital Signage can submit content for distribution on monitors across campus.

How KU Digital Signage Works

Digital Signage is a partnership among units that want digital signage, KU Information Technology and the Office of Public Affairs. There are shared costs and shared responsibilities. Basically, KU IT is hosting and managing the enterprise system that supports and feeds the display equipment located within individual school, departments and buildings. Campus units that choose to install digital signage purchase the necessary equipment, software licenses and develop and manage their own content. Office of Public Affairs has responsibility for the cross campus use of the system, including oversight of shared content and developing policies and guidelines.

KU IT Responsibility

  • Centralized server and content database
  • Staff for support and maintenance of the server
  • Assist units in equipment purchase, installation and configuration
  • Managing software licenses
  • User accounts
  • User training and support
  • Upgrades to software

Individual Unit Responsibility

  • Cost of all needed equipment and hardware
    • Displays
    • Media players
    • Mounting brackets, installation materials
    • Electrical and physical construction
  • One-time software license cost (per media player)
  • Content development and posting (e.g., slides, photos, videos, text, TV, etc.)

Public Affairs Responsibility

  • Policies, best practices and usage guidelines
  • KU-branded templates
  • Oversight of cross-campus content sharing process
  • Manage Emergency Notification System alerts

Cost: 

Individual units are responsible for all necessary equipment and hardware costs, including: displays, media players, mounting brackets and other installation materials, and electrical and physical construction, etc. Units are also responsible for a one-time software license cost for each media player.
